Summary

Under the direct supervision of the Project Manager and Project Executive this position provides administrative support for assigned construction job. The Project Coordinator performs duties such as data entry into Viewpoint, maintenance of insurance certificates, coordination of meetings and conferences, obtain supplies, type, file, schedule, coordinate direct mailings, and working on special projects. Deals with a diverse group of important external callers and visitors as well as internal contacts of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office/job practices or procedures.

  1. Maintenance, Organization, Control and Distribution- Project Coordinator is responsible for maintenance, organization, control and distribution of logs- contracts, insurance, RFIs, Submittals, Change/Purchase Orders, Drawing/Specs/Sketches, SOW, Safety, Subcontractor Documentation, ICAP (where applicable). Enter data related to job into Viewpoint system.  Responsible for ensuring all information entered is correct. Follows up on open items per log maintenance/tracking.
  2. Coordination-Coordination and support regarding requisitions (pencil requisitions) from subcontractors.
  3. Compliance-Helps ensures that all required insurance certificates and statutory worker’s compensation are in place prior to commencing work.
  4. Updating-Establishes, develops, maintains and updates filing system for the Project Management team and the organization. Retrieves information from files when needed. Organizes and prioritizes large volumes of information and calls.
  5. Correspondence-Responsible for owner and subcontractor contract notification/letters. Sorts and distributes correspondences. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  6. Communication-Answers phones calls, takes messages or fields/answers all routine and non-routine questions related to job.
  7. Supplies-Responsible for support of field offices with regard to material/supplies ordering.
  8. Liaison with outside entities-Acts as a liaison with outside companies. Handles confidential and non-routine information and explains policies when necessary.
  9. Represents Company- Exemplify Aurora’s Core Values, personifying Customer Focus, Integrity, Family Values, Quality work, and Enthusiasm and foster that behavior in project team.
  10. Works independently and within a team on special nonrecurring and ongoing projects.
  11. Reporting-Responsible for monthly reporting deliverables to ownership and Aurora.
  12. Documentation-Works with the accounting department as needed to ensure all subcontractors are up to date on paperwork before payments are made including requisition support and coordination. Proofreading and formatting of documents, including meeting minutes (where applicable).
  13. Closeout Documentation-Project Coordinator is responsible for ensuring a complete closeout documentation package (as-builts, warranty, owners’ manuals)
  14. Backup-All Project Coordinators will be called upon to backup the position of Receptionist should the Receptionist be unavailable.
